UQ organisational units and on-campus colleges can hire charter buses for transport to and from campus for events and other activities.

You need to get approval for any buses coming onto campus, including collecting and returning students from colleges outside of teaching hours.

UQ’s charter bus service provider is Belbaker. You can use another bus company if you prefer.

If you're organising an event on campus, you also need to apply for approval for your event. Make sure you request approval for bus parking at least 2 weeks before your event.

Belbaker is UQ’s bus service provider. UQ has organised an approved pricing structure with Belbaker.

Buses vary in size from 13-seat shuttle buses to 71-seat coaches. Go to the Belbaker website for a full list of vehicles and their features.

Making a booking

Before you book a charter bus through Belbaker, you have to request a quote through the Belbaker website. Belbaker will email you to confirm they've received your request and then send a quote within 24 hours.

Once you’ve received a quote you have to:

  1. Contact the Security Events Officer to coordinate bus pick-up and drop-off locations.
  2. Advise Belbaker of the approved arrangements for pick-up and drop-off.
  3. Complete the PF702 Booking Confirmation form (RTF, 360.7 KB).
  4. Make an online booking and upload your PF702 form.

After you've completed your online booking, Belbaker will send you a booking confirmation with Fleet Services copied in.

Changing a booking

If you want to make any changes to your booking, email Belbaker: admin@belbaker.com.au.

If the changes will affect the pick-up and drop-off arrangements, email the Security Events Officerseo@pf.uq.edu.au.

If there are any changes to fees and charges because of changes to your booking, Belbaker will contact you and Fleet Services. Fleet Services will advise you if you need to complete another PF702 Booking Confirmation form (RTF, 360.7 KB).

Cancelling a booking

If you need to cancel a booking, you have to advise Belbaker, Fleet Services and the Security Events Officer at least two business days before the booking date. Email:

If you cancel a booking with less than 24 hours’ notice, you may have to pay a cancellation fee.

Invoices

Fleet Services receives a single monthly invoice from Belbaker. After paying the invoice, Fleet Services then recoups charges from the relevant department’s nominated account.

Terms and conditions

Terms and conditions apply:

  • No food or drinks apart from water can be consumed on coaches.
  • Buses are fitted with seat belts. All passengers must fasten their seat belt when travelling.
  • Coaches are presented clean. Care should be taken to avoid soiling coaches with muddy footwear. Cleaning costs may be passed on to the hirer.
  • Please advise Belbaker if you need to stow goods, equipment or soiled footwear in luggage compartments.

If you're hiring a charter bus through a company other than Belbaker, you need to apply get approval and organise parking on campus. It's best if you apply for approval from UQ before hiring a bus.

St Lucia

To request approval for buses to travel to or from St Lucia:

  1. Complete a PF711 Event Application form (RTF, 371.1 KB). List any bus parking requirements under ‘Brief description of Events/Entertainment/Activities’.
  2. Email the completed form to the Security Events Officer.

The Security Events Officer will allocate bus parking in UQ's booking system and send you the details in a confirmation email.

Gatton

To request approval for buses to travel to or from Gatton:

  1. Complete a PF711 Event Application form (RTF, 371.1 KB). List any bus parking requirements under ‘Brief description of Events/Entertainment/Activities’.
  2. Email the completed form to the Security Events Officer.

Approved buses can use the bus zone in Main Drive. Use the Gatton bus lay-by area map (PDF, 270.8 KB) to find bus parking zones.

Long Pocket

To request approval for buses to travel to or from Long Pocket:

  1. Complete a PF711 Event Application form (RTF, 371.1 KB). List any bus parking requirements under ‘Brief description of Events/Entertainment/Activities’.
  2. Email the completed form to the Security Events Officer.

Approved buses can use the bus set-down point in car park P5 on Discovery Drive near the Cycad building. Use the Long Pocket parking map (PDF, 91.6 KB) to find the bus set-down point.

Herston and PACE

To request approval for buses to travel to or from Herston or PACE, contact the Security Events Officer to apply for special event parking on site.

If no parking is available on site, you may be able to use Brisbane City Council parking zones in the area. You are responsible for complying with Council requirements.

Pinjarra Hills and UQ Experimental Mine Site

To request approval for buses to travel to or from Pinjarra Hills or the UQ Experimental Mine Site at Indooroopilly, contact the Security Events Officer to apply for special event parking.
