Planning an event at UQ
A range of events are held at UQ campuses each year, including concerts, performances and movie nights. There are a number of outdoor spaces available at St Lucia that you can book for your next event, including the:
- Forgan Smith Lawns
- Grassy Knoll
- UQ Art Museum lawn
- Dr Mary Mahoney AO Amphitheatre.

BBQ sites (PDF, 3.5 MB) operate on a first-in, first-served basis and cannot be booked in advance.
2. Before you apply
Before you apply, you'll need to consider insurance, risk management and safety.
Insurance and risk management
If you are a UQ staff member or UQ student organising an event for UQ staff and/or UQ students, the event will be covered by UQ’s insurance.
If you are organising an event that is not for UQ staff and/or UQ students, your event will not be covered by UQ's insurance and you will need to provide a copy of your own public liability insurance policy to the value of $20 million.
Student or staff event organisers need to:
- provide a UQ safe risk assessment ID (for staff to complete) or event management risk assessment (students to complete) (DOCX, 54.8 KB)
- consider and agree to the conditions of use disclaimer (PDF, 296.1 KB).
If you are an external event organiser you need to:

Health, safety and wellness
Events held at UQ must comply with the Work Health and Safety Act 2011 (Queensland) to ensure the health and safety of everyone. Be prepared to adapt to changes to gathering/movement restrictions or the impact of severe weather to ensure the safety of attendees.
