Planning an event at UQ
A range of events are held at UQ campuses each year, including concerts, performances and movie nights. There are a number of outdoor spaces available at St Lucia that you can book for your next event, including the:
- Forgan Smith Lawns
- Grassy Knoll
- UQ Art Museum lawn
- Dr Mary Mahoney AO Amphitheatre.

BBQ sites (PDF, 3.5 MB) operate on a first-in, first-served basis and cannot be booked in advance.
4. How to apply
Once you have selected a venue, complete the online event application form and ensure that you attach relevant supporting documents such as:
- event marketing materials for events serving alcohol (flyers, posters)
- site plan
- alcohol server RSA information (where required – if alcohol is not being served by a catering company)
- risk assessment
- supplier/food truck agreements.
When to apply
Submit your application at least 2 weeks before the event.
For larger events that involve third-party suppliers (e.g. marquees, food trucks, amusement rides etc.), or may impact campus operations, submit your application at least 8 weeks before the event.
What happens next
We will review your event application and contact you to advise the outcome of your application and/or request any additional information. Please note, that there may be special conditions that need to be met for your event to be approved.
